Privacy Policy
Last updated: 14 September 2026
This Privacy Policy explains what personal information Ellebroidery collects, why I need it, how it is used and your rights over your information.
Who I am
Ellebroidery is a UK-based small business operated by Ellen Wright Folan. I am the data controller responsible for personal information collected in connection with Ellebroidery.
If you have any questions about your information or this policy, you can contact me at helloellebroidery@gmail.com.
What I collect
I only collect information needed to run the website, create and deliver your order, and provide you with a good customer experience. This may include:
-
your name, email address, phone number, billing and delivery address;
-
your order and payment information;
-
the photograph or scan of the handwriting you would like embroidered, along with any personalisation details you provide;
-
messages you send to me by email, through the website or on social media;
-
your preference about whether I may share your finished keepsake on Ellebroidery's website or social media; and
-
technical information collected through the website, such as your IP address, device, browser and how you interact with the site.
Payments are processed securely through the payment provider available at checkout. I do not receive or store your full debit or credit card details.
How I use your information
I use your information to create and fulfil your personalised order, process payments, arrange delivery, communicate with you about your order and provide customer service.
I may also use or retain information where necessary for accounting, tax, fraud prevention or other legal requirements.
The main legal basis for using information needed to fulfil your order is contract. I may also process information where necessary to meet a legal obligation, for my legitimate business interests, or where you have given your consent.
Your handwriting and photographs
When you order an Ellebroidery keepsake, you may provide a photograph or scan of handwriting belonging to you or someone else. I use this to create your embroidery design and fulfil your order.
Please only provide handwriting, photographs or other personal information that you have the right to provide for this purpose.
Your handwriting images will only be kept for as long as reasonably necessary to create your keepsake and deal with any queries or problems afterwards, unless there is a legal reason for me to retain them.
I may photograph completed Ellebroidery pieces and use these images on the Ellebroidery website, social media and other promotional materials as part of my legitimate interest in showcasing my work and promoting my business. I will not publish your name, contact details or order information alongside these images.
If you would prefer your finished piece not to be photographed or shared, you can let me know when placing your order or contact me at helloellebroidery@gmail.com.
Who I share your information with
I do not sell or rent your personal information.
Ellebroidery is powered by Shopify, which processes certain information to provide and operate the online store. I may also need to share relevant information with trusted providers that help me run Ellebroidery, such as:
-
payment providers;
-
postal and courier services;
-
email or other technology providers; and
-
Meta, if you contact Ellebroidery through Instagram or Facebook.
These companies process information in accordance with their own privacy policies and applicable data protection requirements.
Some providers, including Shopify, may process information outside the UK. Where required, appropriate safeguards are used for international transfers of personal data.
Cookies
The Ellebroidery website uses cookies and similar technologies. Some are necessary for the website and checkout to work, while others may help understand how the website is used or support marketing features.
Where required, optional cookies will only be used in accordance with the choices you make through the website's cookie settings. You can also manage cookies through your browser.
How long I keep your information
I only keep personal information for as long as it is reasonably needed or where I am legally required to keep it.
Order and transaction records may be retained for tax, accounting and legal purposes.
Handwriting photographs and scans are normally kept while your order is being created and for a reasonable period afterwards in case there is an issue with your order. They will then be deleted when they are no longer needed.
Your rights
Under UK data protection law, you may have the right to ask me to:
-
provide a copy of the personal information I hold about you;
-
correct inaccurate information;
-
delete your information in certain circumstances;
-
restrict or object to certain uses of your information; or
-
provide certain information in a portable format.
Where I rely on your consent, you can withdraw it at any time.
To exercise any of these rights or ask a question about your information, email helloellebroidery@gmail.com.
If you are unhappy with how your personal information has been handled, you also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's data protection regulator.
Changes to this policy
I may update this Privacy Policy if the way Ellebroidery operates or the services I use change. The date at the top of this page will show when the policy was last updated.
